Built on a real production floor.Trusted by real organizations.
PatientLetterHub is the software layer on top of MASS Communications, Inc. — a print and mail operation serving healthcare organizations since 2003.
What makes this different
Most patient communication platforms are software companies that outsource production. We are a production company that built software. When your job is approved, it goes to our facility in Leominster, MA — not to a fulfillment partner we've never met. That distinction matters when the letters are mandated, the data is PHI, and the timeline is compliance-driven.
Who we serve
Medical Practices
Physician departure, practice relocation, and other mandated patient notifications. Practices typically need to notify hundreds or thousands of patients on a compressed timeline — often 30 days from a triggering event.
Health Plans
High-volume recurring mailing programs — daily letters, ID card mailings, application fulfillment, plan change notices, and all-member communications. Health plans need a managed workflow, not a self-serve portal.

The situation
A Massachusetts-based health plan runs a Prescription Advantage program serving thousands of members. Every business day, the plan generates a batch of member letters — approvals, denials, pending notices, cancellations — across dozens of letter types. Each batch is different. Each week aggregates into a production run that needs to be counted, tallied, invoiced, and archived. They were managing this with spreadsheets and email.
Before
- • Manual Excel tally sheet updated daily
- • Page counts entered by hand from printed reports
- • Invoice calculated separately, sent over email
- • No client visibility between invoice and delivery
- • Proof PDFs stored locally, hard to retrieve
After PatientLetterHub Enterprise
- • Daily email parsed automatically — letter types and counts pre-filled
- • Tally form replaces Excel — charges calculated in real time
- • Internal invoice generated on batch close
- • Client portal shows job status, run dates, production summaries
- • Proof PDFs archived per run, accessible on demand
Client name withheld. Program active as of 2026.
