A standard letter is 1–2 pages (one sheet, printed both sides). An extended letter is 3–4 pages (two sheets). Page count determines which bracket applies. Jobs over 4 pages require manual quoting.
Postage is billed at exact USPS cost as a separate line item on every invoice. We never mark up postage. For jobs over 500 pieces, we use presorted First Class rates which are lower than retail — those savings go to you, not us.
A Business Associate Agreement is a HIPAA-required contract between a covered entity (your practice) and a vendor handling protected health information (PHI). PatientLetterHub handles PHI on your behalf, so a BAA is legally required. We include it on every plan at no extra charge.
Yes — unused pieces don't roll over, but you're never penalized for sending less. If you consistently send more than your plan allows, pieces over the limit bill at the next tier's rate.
Pieces over your monthly limit bill automatically at the next tier's per-piece rate — not at the higher on-demand rate. Upgrading is always available and takes effect immediately.
Yes. Practices with a valid USPS Nonprofit Authorization can activate nonprofit postage rates in their account settings. This requires a USPS Mailer ID, Customer Registration ID, and Nonprofit Authorization Number.
