Three things that go wrong

The list is a mess.

The biller sends every patient who ever walked in, not the active panel, and a share of those moved years ago. We run National Change of Address and CASS standardization before anything prints and report the exceptions by row.

Somebody prints it in-house.

An office of three loses a week to folding and stamping. We do that part on a production floor in Leominster that has produced patient letters since 2003.

Nobody keeps the record.

Eighteen months later a patient says they were never notified. We keep a job record with the approved letter version, the source-file reconciliation, and the USPS acceptance date.

    We standardize and NCOA the addresses and send you an exception report by row number.

    You approve a PDF proof by email.

    We print, insert, and mail First Class. You get one invoice and the mailing record.

What it costs

Priced per piece by your actual count, postage shown as its own line at exact USPS cost. First Class is $0.78 a piece at the single-piece rate and $0.67 presorted at 500 pieces and up. A typical 2,000-piece, one-page mailing lands in the low-to-mid $3,000s all-in, production and postage included.

What we are and are not

We are the printer. Digital presses and Pitney Bowes inserters in Leominster, Massachusetts, producing about half a million patient letters a year for UMass Memorial's practices. HIPAA-ready with a BAA on file, though a departure letter usually carries no protected health information at all. We do not write the letter for you and we are not a law firm; your practice and its advisors approve the content and the recipient list.
